The deal, in plain words.

These are the rules for using CeeRent as a rental operator — trial, billing, what we do, what you do. Walang fine print na nakatago: if something here is unclear, ask us at hello@ceerent.com. By creating an account, you agree to these terms on behalf of your business.

01Who we are

CeeRent (“we”, “us”) is software for car and motorcycle rental businesses in the Philippines. It gives you a branded booking site, online payments, deposit holds, handover photos, renter verification, e-signed agreements and the tools to run your fleet.

These terms are a contract between us and the business that signs up (“you”, the “operator”). The business details we are required to publish under the Internet Transactions Act of 2023 (RA 11967) are:

These terms work together with our Privacy Notice, our Data Processing Agreement (which forms part of these terms) and our Refunds & Cancellations page. If they conflict, the Data Processing Agreement wins on anything about your renters’ personal data, and these terms win on everything else.

02Accounts & who can sign up

To use CeeRent you must:

  • be at least 18 years old and have authority to sign up on behalf of the business;
  • run a real vehicle rental business (sole proprietorship, partnership, corporation or cooperative) and give us accurate business details;
  • keep your sign-in details private and turn on two-step sign-in (2FA) for owner and manager accounts — CeeRent requires it for those roles.

The person who creates the account is the owner. The owner decides who else gets access and what each role can do. You are responsible for what happens under your account, including actions by staff, drivers and anyone you invite. If you think someone got into your account, tell us right away at security@ceerent.com and use “Sign out everywhere” in your settings.

If the owner leaves the business or loses access, we can transfer ownership after checking documents that show who controls the business. We will never hand over an account on a phone call alone.

03Free trial

Every new account gets a 14-day free trial with no card needed. You get the full product during the trial. We remind you by email before it ends.

If the trial ends and you haven’t picked a plan and added a payment method:

  • your booking site stops taking new bookings (bookings already made stay in place);
  • your dashboard stays open so you can see and export your data;
  • we keep your data for 90 days. If you still haven’t subscribed by then, we close the account and delete the data as described under Suspension, closing & your data.

One free trial per business. We may decline a new trial if the same business has already used one.

04Plans, prices, VAT & invoices

Our current plans are:

  • VAT is included. Every price we show already includes 12% VAT. There are no setup fees.
  • Yearly = 10 months for 12. You pay for 10 months and get 12.
  • Add-ons and credits (extra vehicles, users, branches, GPS, own domain, AI credit packs and 3D model credits) are priced on our pricing page and billed with your plan or when you buy them.
  • Invoices. Under the Ease of Paying Taxes Act (RA 11976), invoices replaced official receipts for services. We issue a BIR-registered invoice for every payment and email it to the owner. Add your TIN and registered name in billing settings if you want them on the invoice.
  • Price changes. We will give you at least 30 days’ notice by email before a price increase. It applies from your next renewal after the notice period. A yearly plan keeps its price until the year ends.

05Renewals & payment methods

  • Monthly plans renew automatically every month on a saved card or Maya account, until you cancel.
  • Yearly plans can renew automatically on a card or Maya, or be paid once by GCash, QR Ph or bank transfer. One-time payments don’t renew by themselves — we send a reminder and a payment link before the year ends.
  • By saving a card or Maya account, you allow us (through our payment provider) to charge it for each renewal and for add-ons you turn on.
  • If a payment fails, we retry and email you. The exact schedule — including when new bookings pause and when an unpaid account closes — is on the Refunds & Cancellations page.

Subscription payments are processed by Xendit. We never see or store full card numbers.

06Cancellations & refunds

In short:

  • Cancel a monthly plan any time from Subscription. It keeps working until the end of the month you paid for. No refund for the rest of that month.
  • A yearly plan is refundable pro-rata if you cancel within the first 30 days.
  • Upgrades apply straight away (you pay the prorated difference). Downgrades apply at your next renewal.
  • Credits for 3D models and AI are non-refundable, except that a 3D credit comes back if we can’t make the model and AI credits come back for AI work that fails. The AI credits included with a plan are topped back up every 30 days and don’t carry over.

07Your responsibilities as an operator

CeeRent is a tool. You run the rental business, so these are yours:

  • Your rental agreements. We provide a starting template for the e-signed agreement. You decide the final wording and are responsible for it. Have it checked by your own lawyer.
  • Your permits, registrations and taxes. Your business registration (DTI/SEC, mayor’s permit, BIR), vehicle registration with the LTO, and any franchise or permit your service needs. CeeRent does not give or check permits, and we do not claim that using CeeRent makes your business compliant with LTFRB, LTO or local rules.
  • Insurance. Keeping your vehicles properly insured (at least compulsory third-party liability), and telling renters what is and isn’t covered.
  • Your prices, policies and listings. Rates, deposits, fees, cancellation and refund rules, and vehicle descriptions must be accurate and shown to renters before they book.
  • Your renters’ personal data. You are the personal information controller for the renters you serve. You decide what to collect (for example licence and selfie checks), why, and for how long. You need a lawful basis, must give renters a privacy notice, and must answer their requests. We process that data for you under the Data Processing Agreement.
  • Checking renters. Licence and selfie checks help you decide; they don’t replace your judgment. You decide who to rent to.
  • Lawful use. Follow Philippine law, including the Data Privacy Act, consumer and anti-discrimination rules, and tax rules.

If a renter, owner of a co-owned unit, or government agency makes a claim against us because of how you run your rentals, you agree to cover our reasonable losses and costs from that claim, unless it was caused by our own breach of these terms.

08Renter payments through Xendit

Renters pay you online through Xendit, a licensed payment provider, using GCash, Maya, QR Ph, cards, online banking or over-the-counter channels.

  • The money is yours. Payments settle to your own Xendit account and from there to your bank. CeeRent never holds your renters’ money.
  • No commission. We don’t take a cut of your bookings. Xendit charges its own published fees per transaction. You choose whether to pass them to the renter or absorb them.
  • Xendit’s terms apply. You need to pass Xendit’s business verification and accept its terms. Xendit decides whether to approve your account, and handles settlement times, chargebacks and payment disputes under its rules.
  • Deposit holds. Card and Maya deposits are held (authorised) where the method supports it. A hold only lasts as long as the card network or issuer allows. If a rental will run longer than the hold, CeeRent collects the deposit as a payment and you refund it after return. Other methods collect the deposit as a payment.
  • We are not a party to your rentals. The rental contract is between you and your renter. We are not responsible for vehicles, damage, accidents, disputes, refunds or chargebacks between you and your renters. We will help you pull records (photos, signed agreements, payment history) when you need them.

09Acceptable use

Don’t use CeeRent to:

  • break the law, or rent out vehicles you don’t have the right to rent;
  • collect personal data you have no lawful reason to collect, or use renters’ data for anything unrelated to their rental without their consent;
  • send spam or messages people didn’t agree to receive;
  • upload content that is false, misleading, infringing, hateful or sexual;
  • try to get into other operators’ data, probe or overload our systems, or get around limits on your plan;
  • copy, resell or reverse-engineer the software, or scrape other operators’ booking sites;
  • hide or change audit log entries, or share sign-ins between people.

10Your content, our software

  • Your content stays yours. Vehicle photos, logos, descriptions, bookings, customer records and handover photos belong to you (or your renters, where the law says so). You give us permission to host, copy, process and display them only to run CeeRent for you — for example, showing your cars on your booking site.
  • You need the rights. Only upload content you own or are allowed to use.
  • Our software stays ours. CeeRent, its design, code and templates belong to us. You get a non-exclusive, non-transferable right to use it while you subscribe.
  • Feedback. If you send us ideas, we may use them without owing you anything.
  • We don’t sell your data and we don’t use your renters’ data to market to them.

AI and automated features

Some features use AI (Claude on AWS Bedrock) — for example reading odometer and fuel from dashboard photos, comparing pickup and return photos, and drafting replies. AI only suggests. Your staff confirm before anything is saved or charged. AI can be wrong, so don’t rely on it alone for damage claims. What we send to Claude on AWS Bedrock is not used to train AI models.

3D models are made by Meshy from vehicle photos you upload. Please don’t include people or plate numbers you don’t want shown.

11Availability & support

  • We work hard to keep CeeRent running all day, every day, but we don’t promise it will never go down. We schedule maintenance outside peak hours where we can and announce planned downtime in advance.
  • CeeRent depends on other services — Xendit, AWS, GCash, Maya, SMS and email networks, Meta — that we don’t control. Their outages can affect you.
  • Support is by chat and email on every plan. Viber support (Mon–Sat, 8:00–20:00 PHT) is on Standard and Plus. Plus gets a priority queue and a setup call.
  • Our support team can only see inside your account when you approve it. Access is time-limited, and every action is logged in your audit log. See Security.
  • We improve CeeRent all the time. We may change or retire features. If we remove a major feature you pay for, we’ll give you 30 days’ notice and let you cancel with a pro-rata refund.

12Suspension, closing & your data

If we need to suspend

We may pause or suspend your account if payment is overdue (see the schedule on Refunds), if you seriously or repeatedly break these terms, if your account is being used for fraud, or if a regulator or court requires it. Except in urgent cases (fraud, security risk, legal order), we’ll warn you first and give you time to fix it.

Closing your account

You can close your account from settings at any time. We can close it with 30 days’ notice, or right away for serious breaches.

When your subscription ends, your booking site goes offline. Bookings that fall after the end date are still your promise to your renters: honour them some other way, or cancel them with a full refund — CeeRent can do the cancelling and refunds for you before the end date.

Your data when you leave

  • Export any time. Owners can export bookings, customers, vehicles, invoices and other records to CSV or JSON whenever they like — before, during and after cancelling, until the account is deleted.
  • 90 days to change your mind. After an account closes, we keep the data for 90 days, then delete it, including your renters’ data, photos and documents.
  • What we keep. We keep our own billing records (your subscription invoices and payments) for as long as tax law requires. Backups roll off on their normal cycle after deletion.
  • If you need renter records kept longer (for example for an open damage claim), export them before the 90 days end.

13Warranties & liability

  • We provide CeeRent with reasonable skill and care. Apart from that, and to the extent the law allows, we provide it “as is” and don’t promise it will suit every business need.
  • We are not liable for indirect or consequential losses, such as lost profits, lost bookings or reputational damage, or for losses caused by your renters, your staff, third-party services or events outside our reasonable control (for example typhoons, power or network outages).
  • Our total liability for all claims in any 12-month period is limited to the subscription fees you paid us in the 12 months before the event that caused the claim.
  • Nothing in these terms limits liability for fraud, bad faith, gross negligence or anything else that Philippine law (including the Civil Code and the Data Privacy Act) does not allow to be limited.

14Changes to these terms

We may update these terms. For changes that matter — prices, your rights, how we handle data — we’ll email the owner at least 30 days before they apply and show a notice in your dashboard. Small fixes (typos, clearer wording) apply when posted. If you don’t agree with a change, you can cancel before it takes effect; for a yearly plan, you get a pro-rata refund for the unused months.

15Governing law & disputes

These terms are governed by the laws of the Republic of the Philippines.

If something goes wrong, email us first at hello@ceerent.com. We’ll try to settle it in good faith within 30 days. If we can’t, either side may bring the case before the proper courts of [Venue for disputes (city) — added at launch], to the exclusion of other venues, unless the law gives you a right to file elsewhere.
