Refunds & Cancellations

Leaving is easy, too.

Last updated 24 September 2026 · Draft for legal review before launch

How cancelling and refunds work for your CeeRent subscription. Walang lock-in: monthly plans cancel any time, yearly plans are refundable pro-rata in the first 30 days. This page is about what you pay us — not your renters’ booking refunds.

01What this page covers

This page is about your CeeRent subscription — what you, the rental operator, pay us for the software.

It is not about refunds to your renters. When a renter cancels a booking or waits for a deposit to come back, your own cancellation and refund policy applies — the one shown on your booking site and in your rental terms. Renters: please contact the operator you booked with.

02Cancelling a monthly plan

  • Cancel any time from Settings → Subscription. No lock-in, no cancellation fee.
  • Your plan keeps working until the end of the month you already paid for. It won’t renew after that.
  • We don’t refund the unused part of a month.
  • Changed your mind before the month ends? Turn renewal back on — nothing is lost.

03Cancelling a yearly plan

  • Within the first 30 days of a new yearly plan (or of a yearly renewal), you can cancel for a pro-rata refund of the unused months.
  • After 30 days, the plan runs to the end of the year you paid for and doesn’t renew. No refund for the rest of the year.

How the pro-rata refund works

We work out what you used at the normal monthly price and refund the rest. Because yearly is “10 months for 12”, the discount only applies to a full year. Part of a month counts as a full month. For example, if you paid ₱7,990 for Standard yearly and cancel after 20 days, we count 1 month used at ₱799 and refund ₱7,191.

04Upgrades & downgrades

  • Upgrades apply now. Move to a bigger plan or add vehicles, users or a branch, and you pay only the prorated difference for the rest of your current billing period.
  • Downgrades apply at your next renewal. You keep what you paid for until then. Before the downgrade, make sure you’re within the smaller plan’s limits (vehicles, users, branches) — we’ll show you what needs to change.
  • Turning off an add-on works the same as a downgrade: it stops at your next renewal.

05If a payment fails

Cards expire and e-wallets run low — it happens. Here’s exactly what we do, counted from the day your renewal payment fails:

DayWhat happens
Day 0Payment fails. We email the owner. Everything keeps working.
Day 1, 3 and 7We retry the charge and email you after each failed try.
Day 14Your booking site pauses new bookings. Existing bookings, your dashboard and your data stay as they are.
Day 90The account closes. We keep the data for another 90 days so you can come back or export it, then delete it.

Update your payment method or pay the invoice any time before day 90 and everything goes back to normal straight away.

06The free trial

The 14-day trial is free and needs no card, so there is nothing to refund. If it ends without a plan, your booking site stops taking new bookings and we keep your data for 90 days. See the Terms.

07Credits for 3D models & AI

  • Prepaid credits — 3D model credits and AI credit packs — are non-refundable and don’t turn into cash.
  • Exception: if we can’t make a 3D model (for example the photos can’t be used and a retake doesn’t fix it), the credit comes back to your account automatically.
  • If we send your photos back asking for retakes before we start, no credit is used.
  • Unused credits stay on your account while it is open. They are lost when the account is deleted.

08When we refund anyway

  • You were charged twice, or charged after you cancelled — we refund the extra charge in full.
  • We remove a major feature you pay for, or change the Terms in a way you don’t accept — you can cancel and get a pro-rata refund for any prepaid period.
  • A long outage on our side — tell us and we’ll look at a credit or refund fairly.

09How to ask for a refund

  1. Email hello@ceerent.com from the owner’s email, or use the chat in your dashboard.
  2. Include your business name and the invoice number (it’s on every invoice we email you).
  3. We aim to reply within 2 working days to confirm the amount.

Where the money goes: refunds go back to the original payment method — card, Maya, GCash, QR Ph or bank. It usually arrives within 7–14 banking days after we approve it, depending on your bank or e-wallet. For bank-transfer payments, we may ask for your account details to send it back.

For every refund, we issue the matching BIR document to adjust your invoice.
